Privacy Policy

This policy explains how Global AI Automation LLC handles personal information in Global AI Receptionist. There are two groups of people: our customers (businesses who use the Service) and their callers and website visitors, whose information we process on our customers' behalf. Global AI Receptionist is offered to businesses in the United States.
Information we collect
- Account information: name, email, business details, billing details (card data is handled by Stripe; we never see full card numbers).
- Conversation data: phone numbers, call audio recordings (when enabled), transcripts, chat messages, and details callers share such as name, contact info and appointment requests.
- Business content: website pages we read for you, FAQs and other business details you add to set up your assistant.
- Usage data: basic technical logs such as IP address, device and browser information.
- Google account information: if you sign in with Google or connect Google Calendar — see “Google user data” below.
How we use it
- To answer calls and chats, book appointments, and send confirmations and notifications.
- To bill usage, provide support, keep the Service secure and prevent abuse.
- To fix problems and keep the Service reliable, using account information and technical logs. We look at a specific conversation only when the business asks us to help with it, or when needed for security or to comply with law.
- We do not use conversation data (calls, transcripts, chats) to train AI models, and we do not sell it.
Who we share data with
We share data only with providers that run parts of the Service for us, under contracts that limit how they can use it. We do not sell personal information. Our current providers:
- Twilio — phone numbers, calls and text messages
- Vapi — runs phone calls and stores call recordings and transcripts
- Deepgram (through Vapi) — turns speech into text
- ElevenLabs (through Vapi) — the assistant's voice
- Anthropic — the AI model that powers conversations and summaries
- Vercel — website and app hosting
- Neon — our database
- Upstash — fast storage for settings and our background task queue
- Resend — sign-in and notification emails
- Stripe — payments (we never see full card numbers)
- Google — calendar booking and Google sign-in, only if you use them
If you connect your own tools (for example Zapier or Make), we send the details you choose to them; their own policies apply. We'll update this list when it changes.
Call recording
At the start of every call the assistant tells callers they're speaking with the business's virtual assistant and that the call is recorded and transcribed (or just transcribed, if the business turns audio recording off). Businesses are still responsible for meeting the recording-consent laws of their state and their callers' states, and for telling their own staff that calls transferred to them are recorded.
Website chat
Our website chat saves the conversation in the visitor's own browser so it survives a page reload. It does not use cookies or advertising trackers. Our dashboard uses only the cookies needed to keep you signed in.
Retention
We keep account and conversation data (recordings, transcripts, summaries, chat messages and booking details) while the business's account is active. Automatic deletion periods aren't available yet. A business can ask us to delete specific conversations, a caller's details or its whole account by emailing info@globalai.llc. We'll delete the data from our systems and ask our providers to delete their copies, unless law requires us to keep it. We'll update this policy when self-serve deletion and retention settings are available.
Google user data
What we access. If you sign in with Google, we receive your name, email address and profile picture to create your account, and store them with your account. If you connect Google Calendar, we receive the email address of the connected Google account, can see when your main Google calendar is busy (only busy times, not your existing event details), and can add events to it.
How we use it. Only to show which account is connected, to offer callers open times, and to add the appointments your assistant books (with the caller's name, service and contact details).
How we store it. The long-term key that lets us reach your calendar is stored encrypted. A short-lived access key that expires within about an hour is kept in our fast storage while in use. We don't keep copies of your calendar.
How we share it. Open times are passed to our call and AI providers (Vapi and Anthropic) only so the assistant can offer them to the caller, and the times offered appear in the conversation transcript. We don't share Google data for any other purpose, except for security or to comply with law. No person at Global AI Automation LLC reads your Google data unless you ask us to, it's needed for security, or the law requires it.
How to remove it. Disconnect Google Calendar in your dashboard to delete the connection we store. You can also remove our access at any time at myaccount.google.com/permissions.
Global AI Receptionist's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
We do not use Google user data to develop, improve, or train generalized AI or machine-learning models, and we never use it for advertising or sell it.
Security
Data is encrypted in transit, and our database provider encrypts stored data. Long-term calendar keys are additionally encrypted by us. Access is limited to people who need it.
Your choices and rights
Depending on where you live you may have rights to access, correct, delete or port your information. If you called or chatted with a business that uses Global AI Receptionist, please contact that business first; we will help them respond. You can also reach us at info@globalai.llc. Requests are handled by email for now.
Children
The Service is not directed at children under 13, and we do not knowingly collect their information.
Changes
We'll post updates here and tell account owners about material changes by email.
